Brief introduction to the functionality of the CMS Fiona

In the "Orientation" chapter, CMS editors are guided through the first steps of logging in and using the content management system. It explains how to log in with Viadrina access data, request access rights, and familiarise themselves with the structure and functionality of the CMS. The aim is to give editors a clear overview of the technical requirements, navigation in the system, and the basics of modular design in order to effectively manage the website and create accessible and multilingual content.

 

CMS newcomers

For access to the CMS for beginners, it is necessary to prove that the basic functions of Fiona and the modular design have been understood. The practical example required for this can be found at:

The folder name should be your surname.

Create a practical example with at least:

  • a distribution or detail page with a module that contains text;
  • a link to a page in the university's website cosmos (no external page),
  • the integration of an image on the distribution or detail page and
  • a contact box as a module or linked in the info column of the standard website (modular).

The page should roughly correspond to this sample page in the live preview. Please use your own surname as the folder name for the practical example in the CMS;

Then: informal approval email from superiors (management, LS owner, secretary, etc.) to cmsadmin@europa-uni.de, confirming that the training participant should receive editorial access to this website area and that the practical example has been stored in the CMS according to the specifications.

CMS editors need:

  • a workstation computer with Windows, Macintosh or Linux/Unix;
  • an up-to-date browser such as Firefox, Chrome, Safari etc.;
  • the pop-up blocker must be deactivated (or exception confirmed) for the editorial server;
  • a personal Viadrina access.

Optional:

HTML knowledge makes working with the CMS easier, but is not mandatory.

Editors log in to the CMS via the following web address: https://cms.europa-uni.de (in the EUV network or via VPN connection).

Login is only possible with your personal Viadrina access data.

Apply for access rights for your personal login data by email to cmsadmin@europa-uni.de and in the knowledge of your supervisor (email in the CC). Define exactly for which pages you should receive editing rights, for example by naming the exact path (copy of the breadcrumb tray).

Only personal access to the CMS can be assigned and no functional accounts (basics:

For access to the CMS for newcomers, proof is required that the basic functions of Fiona and the modular design have been understood. Please provide the practical example required for this under:

To the CMS Fiona of the Viadrina

Please always exit the CMS using the button (top right) in the tool list. This allows the CMS to save the settings and terminate running processes on the server properly.

Basic functions

Once logged in, you will find a hierarchical page structure consisting of different folders. The top-level ROOTPUB reflects the most important facilities of the university, the faculties, and institutes. The language books (DE, EN, PL) are organised on the second level.

The background navigation of the website is called the editorial system. In the editing system, language, menu items, pages, templates, and documents are visible as individual folders and files.

The functions under "File" in the menu bar largely correspond to the most important functions in the toolbar.

Under "Edit", for example, you can use the "Copy tree" function for entire page trees that you want to create elsewhere in the same structure but with different content. Mirroring is only possible for CMS admins, it is generally not recommended.

"Switch to other language" switches the tree to the other language tree if the content is already there.

"View" is usually also operated via the toolbar; the Smart Editor no longer works in the new layout.

"Workflow" is important for the release of pages. Here you can "Discard" changed items that you have not yet released. You can "Reduce" content that should no longer be online but does not need to be deleted. Content that is really no longer needed should actually be deleted. This keeps the system tidy and fit. In addition, retracted elements that are not self-explanatory are always a construction site for future CMS editors. Out of fainess towards them, you should always leave a tidy "CMS workspace" in the folder structures.

In "Complete editing", you can view the tasks that you have edited but not yet released.

The "Complete" helps with navigation in the CMS. It can be used to quickly find the place where you have recently worked. This is also relevant for linking modules and elements.

"Bookmarks" have already been described above.

"Extras"

Under "Display log" you can view the last editors of the page or object in the CMS as well as the work step. The item "Subtree wizard" is also relevant. This can be used to copy, release, delete, retract or discard the page tree (i.e. the page including all objects underneath it).

 

 

  • A toolbar for quick selection for editing and viewing folders and documents.

You can perform the most important functions in the toolbar (from left to right): Create pages, folders (1), and files (2), finalise the editing of pages, search for folders, as well as cut folders, pages, and files (applied to the entire tree (3)), copy (4), paste (5) and delete (6).

To find your way around the editing system as quickly as possible, go to the toolbar and click through the various view options (1). The column view provides a good basis for finding your way around the system, but the other views (tree, list, thumbnail, and details) can also be suitable for different purposes:

The eye, the so-called Smart Editor (2), is no longer used. However, you can jump to the live view (3) for each page by clicking on the camera symbol and using the circular arrow symbol (4) to update the editing system.

At the end on the right-hand side, you will find the button symbol to log out of the editorial system.

If you frequently work with the editorial system as an editor, it is a good idea to create bookmarks for the most important pages (or info boxes etc.). The menu item „Bookmarks“ takes you to „Add bookmarks“.

Navigate to your most frequently used paths and save them. You can delete or rename them at any time using the Edit bookmarks menu item.

Another option is that you can customise your basic settings and land directly on the relevant page when you log in to the editorial system. In the menu, select „Extras“ > „Personal settings“ and navigate to Basic settings in the new window under „CMS Start“ > „Main folder“ for example to your chair page.

 

Below this is the navigation path, the so-called „breadcrumb trail“, which shows you where you are in the page structure. This path can also be copied and shared with others as a hint:
